Green Season Bookings

  • The whole lodge is available to book exclusively during the 'green season' which is when there is minimal to no snow, and chairlifts are no longer operating.

1. Bookings Made Online

  • Reservation Confirmation: Reservations made online are confirmed upon receipt of 100% of the total stay cost.
  • Final Payment: The full balance is due at the time of booking.
  • Availability: All bookings are subject to availability at the time of reservation.
  • Rates and Dates: Accommodation Rates and Dates are subject to change at any time and final only at the time of booking.

2. Booking Modifications

  • Modification Requests: Booking Modifications must be requested via email to This email address is being protected from spambots. You need JavaScript enabled to view it.
  • Modification Charges: Guests may modify their booking once at no extra charge. Additional booking modifications will incur a $50 administration fee.

3. Booking Cancellation Policy

  • Cancellation Requests: Booking Cancellations must be requested via email to This email address is being protected from spambots. You need JavaScript enabled to view it.
  • Cancellation Charges: Cancellations made 30 days or more before arrival will receive a full refund less $50 administration fee. Cancellations made less than 30 days from the Booking arrival date will not receive a refund.
  • We reserve the right to cancel bookings without notice and without refund in order to comply with official government or emergency service directives. 

4. Accommodation Rates

  • Rates and Dates Disclaimer: Accommodation rates are subject to change at any time and will be confirmed only at the time of booking.

5. Check-In and Check-Out

  • Check-In Time: 2pm on the date of arrival stated in your Booking confirmation.
  • Check-Out Time: 11am on the date of departure stated in your Booking confirmation.
  • Late check-outs may incur additional fees or withheld security deposit unless previously arranged.

6. Lodge Rules

  • No Smoking: Smoking is not permitted inside the lodge. Designated smoking areas are provided outside. Please dispose of cigarette butts responsibly in a bin.
  • Pets: No pets allowed.
  • Damage Policy: Guests are responsible for any damages incurred during their stay. The security deposit will not be refundable, and costs exceeding the dollar value of the security deposit may be charged to the guest's payment method on file if damages exceed the dollar amount of the security deposit.
  • Cleaning Policy: The lodge is expected to be left in satisfactory condition after checking out, for the security deposit to be refunded. In the case that the lodge has been left in unsatisfactory condition, including damages caused to the lodge during your stay, the security deposit will not be refundable. Satisfactory condition includes all dishes washed and put away and clean stove top and benches. All rubbish must be removed from inside the lodge and placed in the rubbish hutch located 10 metres from the front of the lodge. Please refer to the summer housekeeping booklet located near the phone in the kitchen for more information. 
  • Sleeping bags: Guests are not permitted to use sleeping bags on beds at any time. 
  • Linen: A top sheet, bottom sheet, and a pillowcase must be used in all occupied beds.
  • Outdoor shoes: Guests are not permitted to wear outdoor shoes inside the lodge. 

7. Liability and Insurance

  • Personal Liability: Guests are responsible for their own personal property and should consider purchasing travel insurance.
  • Indemnification: Guests agree to indemnify and hold Aardvark Alpine Club harmless from any claims arising from their stay.

WHAT TO BRING
  • BYO Sheets (top + bottom), pillow cases and towels. No need to bring doonas, pillows, and blankets as these are provided. A top sheet, bottom sheet, and a pillowcase must be used. No sleeping bags.
  • Bring suitable footwear for indoors such as indoor shoes, slippers, or socks.
     

Winter Bookings

  • Children under 2 years old: If bringing an infant under 2 years not occupying a bed (FREE), all beds in your room must be booked - as 'spare' if not occupied
  • Member Guest Rates: Are exclusively available for bookings made by and including the relevant member.

  • Quiet Hours: Quiet hours are from 10pm to 7am. Please respect fellow guests.

  • Damage Policy: Guests are responsible for any damages incurred during their stay. Costs may be charged to the guest's payment method on file.
  • Common Areas: Guests must clean up after themselves in communal spaces, including the kitchen, lounge, dining, booked bedrooms, and bathrooms.
  • Expectations of Behaviour: All guests are expected to conduct themselves in a respectful and courteous manner during their stay. Disruptive, aggressive, or inappropriate behaviour towards staff, other guests, or property will not be tolerated.
  • Cooperation with Staff: Guests must cooperate with lodge staff and adhere to any reasonable requests or guidelines set forth for the safety and comfort of all guests.
  • Consequences of Poor Behaviour: In the event of poor behaviour or failure to cooperate, the lodge reserves the right to take appropriate action, which may include verbal warnings, removal from the premises, or cancellation of the booking without refund. Any damages or disturbances caused by a guest will be billed to the responsible party. Failure to comply may result to being asked to vacate the lodge and you may be prohibited from making future bookings at Aardvark Alpine Lodge.
  • Zero Tolerance Policy: The lodge maintains a zero-tolerance policy regarding violence, harassment, or illegal activities. Such behaviour may result in immediate eviction and potential legal action.

7. Use of Amenities

  • Shared Spaces: Guests are welcome to use all communal areas while respecting the cleanliness and order of these spaces.
  • Equipment Use: All skiing and snowboarding equipment must be used responsibly. Aardvark Alpine Club is not liable for any injuries incurred during the use of equipment. Aardvark Alpine Club is not responsible for lost or stolen goods.

WHAT TO BRING
  • Sheets (top + bottom), pillow cases and towels (doonas and blankets are provided – commercial linen and towels are available to hire for a small fee (cash preferred) if you'd prefer to carry less up the hill. No sleeping bags.
  • Pack warm clothing for the alpine environment. Cotton and wool are best!
  • Indoor shoes such as slippers are recommended as outdoor boots are not permitted inside.
